Conduct a Club Meeting

The President presides over club meetings, keeps the agenda moving, invites officer and committee reports, and announces the results of properly conducted motions and votes.

For spoken wording during a meeting, open the Club Meeting Procedure — Presiding Script. That page preserves the wording and order of the club's original Google Doc rather than rewriting it.

Preparation

  1. Confirm the current meeting agenda, start and adjournment times, and presenters for the pledge, invocation, and officer and committee reports.
  2. Coordinate with the Secretary on the agenda, anticipated motions, and minute-taking.
  3. Confirm the Treasurer and committee representatives are prepared to present.
  4. Adapt the sample names and 7:00–8:00 PM times in the script to the actual meeting.

Meeting sequence

  1. Call the meeting to order and conduct the pledge, invocation, and introductions.
  2. Pause for dinner or fellowship if scheduled; formally resume business afterward.
  3. Invite the Secretary and Treasurer to report. Handle any motions, discussion, and votes under the club's governing rules.
  4. Present the President's report, invite committee reports, and address new and old business.
  5. Invite open-forum comments as scheduled, and adjourn the meeting.

Approval and minutes

The source script includes example motions to accept reports and voice votes. Verify applicable bylaws and parliamentary requirements before following those examples. Do not announce a motion carried without the necessary vote. Coordinate exact motion wording, vote results, and adjournment time with the Secretary for the minutes.
